Customer Service Manager

We are excited announce that we are adding pilates to our class timetables at both our Dalston and Clapham studios.

We are hosting auditions for confident and fully trained teachers on the 29th August from 3-5 pm at Sadhana Dalston (Dalston Works, Martel Pl, Dalston, London E8 2FR) and you must be available for the full 2 hours.

Key Role Outcomes

  • Create a consistent and outstanding customer experience. Manage our vibe leaders across our studio enabling them to deliver and implement the Wow Factor, you are in charge of creating the vibe in our studios!
  • Manage vibe leaders ensuring they are knowledgeable and welcoming; and understand the ins and outs of the studio to best serve our customers.
  • Responsible for studios and customer service measured in customer attendance and retention.
  • Communicate studio vision with team and keep the team focused on priorities in order to reach goals.

 

Key Responsibilities

  • Create a consistent and world-class customer service by managing vibe leaders in the studios.
  • Build a talented, motivated and well-trained studio team; hiring is ongoing and systematic.
  • All studios comply with health and safety regulations and all staff is properly trained.
  • Ensures management of vibe leaders and their rota’s
  • Works closely with sales coordinator to ensure sales of therapy rooms

 

Admin Management

  • Accurate, statistical reporting of all relevant customer service parameters (retention of customers, renewals; cancellations, etc).
  • Frequent meetings with team members

 

People Management

  • Able to manage a team; effectively communicate expectations, deadlines and delegate tasks
  • Manage and approve vibe leader schedules and holiday requests
  • Manage vibe leaders establishing an efficient, positive, motivated work atmosphere

 

Requirements

  • Flexible and highly organised approach to the working environment;
  • Ability to work on own initiative; self-motivated and able to manage individual workloads;
  • Able to handle challenging customer and staff issues with patience, tact and professionalism
  • Ability to update the existing documentation and create additional documents covering all the processes and procedures of the studio.
  • Excellent communication skills: written and spoken, including a very good command of English;
  • Ability to prioritise ever-changing workloads;
  • Computer literate with solid skills in excel, word and PowerPoint.
  • Sound experience in a Management role, ideally operations and or business

Part Time Role (Minimum of 20 hours p/w)

Vibe Leaders are the eyes, ears and face of the studio. As a Vibe Leader you are in charge of the energy at the studio, you’ll be responsible for providing an outstanding service to customers and supporting the studio’s day-to-day operations.

Some of your responsibilities will be:

  • Lead the Vibe of the studio
  • Educate students about the Yoga products and services
  • Greet and check in students for class and appointments
  • Deal with e-mail request and telephone calls
  • Keep the studio looking amazing at all times
  • Support colleagues in their tasks
  • Support students in their experience
  • Be aware of news and events in the studio
  • Become proficient with the studio software to deal with bookings and packages
  • Being a Sadhana ambassador

Our Helping Hands commit to at least eight hours per month supporting our studio, helping us with Marketing, IT and PR. They also lend a hand setting up before and after classes. In return they get to practise any of our yoga and movement classes for just £40 per month.

  • Converting leads into regular auto pay customers
  • Selling therapy slots to therapists using our facilities
  • Selling teacher training slots
  • Understands our revenues and constantly analyses performance vs. budget

 

Key Responsibilities

  • Selling timeslots to therapist using our facilities by effectively creating leads, contacting leads and converting them into sales. Effective account management of existing therapists to ensure revenues. Working closely with customer service manager and vibe leaders.
  • Selling slots to teachers for teacher training in close collaboration with the lead instructor. Contacting leads, effective follow up with leads in order to ensure signing up people for teacher training.
  • Contacting first time visitors and monitor attendance in order to effectively convert them into auto pay customers and become regular customers.
  • Analyses our revenue and underlying performance drivers to understand what is driving our business and what should be done in order ensure healthy revenue streams for Sadhana

 

Admin & Communication

  • Updates system with customer data, lead data and contact information from the sales process
  • Accurate, statistical reporting of all activities and efforts
  • Weekly and Monthly meetings with leadership team members
  • Effective, efficient communication with the Sadhana team about upcoming events/promotions etc.
  • Update and maintain all documentation and systems (e.g. Asana, MBO, Google Drive, etc)
